Minutes for meeting on 10/18/06

1.  Paul Zettek, the current HOA President started the meeting.  Paul announced that he will be moving and that a new president would need to be elected.

 

2.  There is a web page for our association.  Juan Ramos is the web master and has attained

for our site.  He is looking for volunteers and ideas for the site.  You can email him or the board through the site.

 

3.  Introduction of Batts and Ramsey representative Diana Ellis. Diana is our representative from Batts and Ramsey.  She visits our community twice a month and makes note of all the covenants violations.  So far there has been a positive response from most residents.  B&R was chosen to be our management service primarily for financial reasons and the services they provided.  The president noted that we get more for a lesser cost than TLC.

 

4.  Batts and Ramsey representative Diana Ellis discussed the budget and answered questions from the residents.  B&R is still pursuing people who have not paid their dues.  We are still behind around $2,000 in back dues.

 

Reminder:

    Next years dues will begin in January.  There will be a coupon book sent out to every home.  It will have 4 coupons.  Dues will be collected quarterly.  You will be responsible for sending them in on time.  No reminders will be given.  There is a late fee.  The dues are now $240 dollars a year, 60 per quarter.

 

5.  Juan Santiago of Tru Source Inc. is our current landscaper.  He has been asked to continue next year and will provide a new contract to the board.  He has been involved with a number of residents putting in sod.  Please contact him if you would like an estimate for sod.  This is a great deal especially for those on the old phase of the community.  One example is the home next to the playground on Suda Drive.

 

6.  The president wanted to set up a day to paint and clean up the playground.  That has since been cancelled due to weather and time issues.

 

There is also a plan to remove the playground set on Raj Drive and put it in the playground area on Suda Drive.  The playground on Raj has been damaged and is now primarily used by the townhouse residents.  Therefore it was decided to no longer maintain it in the present location.  Hopefully plans can be made in the future if another playground is needed.

 

7.  A petition has been submitted for the speed bumps to be installed on Raj Drive.  There were some concerns about snow removal after they put in the speed bumps.  However, 75%+ of the residents on Raj drive signed the petition so they will be installed.  This is a street by street petition.  If you want them on your street, a petition with at least 75% of the residents on that street must be completed.

 

Also: One of the residents reported that a petition was submitted for Raj Drive to have no parking signs put in on both sides of the street.

 

8.  Some future Ideas the board is looking into:

 

The first plan is to do something with the entrance.  The board is looking into putting stone work around the current entry signs on Lumley Drive and possibly a stone wall to create a flower bed in front of it.

 

The second idea is for a vinyl coated chain link fence to be installed

around the playground area on Suda Drive.  This will replace the current wooden fencing.  A reminder, chain link fence is not allowed at the homes, per the covenants.  This is specifically approved by the board only for the playground.  Since the wooden fence was destroyed by the children, then a stronger more durable fence was needed.

 

9.  Community Reminders:

 

Garbage Cans. -  Please remember to put your garbage can away.  It should not be seen from the front of your house.  It is permissible to put it out Sunday night and then put it away Monday after the pickup.

 

Satellite dishes -  Satellite dishes are not allowed to be installed in a location that can be seen from the front of your house.  Anything that can be seen from the front of your home should have a request submitted to the architectural approval committee.  If there is absolutely no way of installing the dish in a location that can not be seen, then specific approval can be given.

 

NOTE:  The people who install these dishes know about home owners associations.  Almost No association allows these to be seen.  The installers know this, and have no problem coming out an additional time to move them.  However, you will have to pay for it.

 

Architectural approval – Any addition to the front of your home MUST have architectural approval.  Please be sure to submit architectural approval request.  The forms can be attained from the Batts and Ramsey web page.
